Domain Control - Don't Let Your Domain Name Get Stolen, Lost Or Hijacked

For businesses and other organizations, the domain should always be registered in the organization's name, and the administrative (registrant) email address should be that of an officer or owner.

An organization's domain name should always be registered to that specific organization, because the registrant of the domain name essentially controls the usage of the domain name.

It may be tempting to turn over control of your domain to company technical personnel so the owner does not have to be bothered with handling renewal notices, etc. This practice is actually very common.

If a host or developer is the registrant of a domain, the organization can be essentially "locked in" to that provider's hosting services. This may be a problem if the organization wants to point the domain name to another service, and the registrant is not responsive or does not want to relinquish control of the domain name.

Preventing the loss of your domain name

This happens more often than you might think. A trusted employee registers a domain name and uses their contact information to register it. For whatever reason, they leave the company, the domain expires, and the rightful owner not only does not find out about it until it is already expired, but cannot reach the former employee to get the login information. Or worse, the termination of employment was not so gracious, and the former employee withholds the information out of spite.

It happens.

No matter how busy you are, register the domain yourself or verify that the administrative contact is in a company officer's name and email address.

Was your domain name hijacked?

If the damage is already done, you will need to gather a few things together. For instance, the articles of incorporation, or other proof of ownership.

Other registrars may be different, but for Tucows, you need to fax the articles of incorporation (or the like) and an enlarged photocopy of your driver's license or photo ID, and your contact information to a special fax number. They will then change the administrative email address to the email address you specify and send the login to that address.

You may then login and change the administrative information to yours.

Again, your registrar may have a slightly different procedure. Just be prepared to prove who you are and that you have the proper legal authority.

A final word

Always try to be conscious of your domain name registration. It is so easy to forget because they can be registered for years at a time. If you change your email address, try to remember to update your email address at the registry so you will receive renewal notices in time to prevent lapse of your website service and potential loss of business.
